2023 Congress & AGM

The 2023 Congress and AGM will be held at the Newcastle Convention and Exhibition Centre (NEX) at 309 King Street Newcastle on Sunday 22 to Tuesday 24 October 2023.

This year, Congress is open to delegates and alternate delegates, with an option for virtual (online) attendance (including voting) for delegates. To ensure the maximum number of delegates and alternates can be in the room, there are restricted numbers for observers to attend in person.

All members will be emailed a link to watch the livestream as an observer (no registration necessary).

Schedule of Events

To assist with travel and accommodation arrangements below is a guide of the schedule for Congress and AGM:

Sunday 22 October:

  • 1700: Welcome Drinks at NEX

Monday 23 October:

  • 0800: Collection of delegate and alternate delegate packs at NEX
  • 0900 to 1630: Congress at NEX
  • 1700 to 1900: Sport and Recreation activities at Bar Beach Bowling Club

Tuesday 24 October:

  • 0830 to close: AGM (please note end time will be on the close of the AGM and is dependent on the number of motions)

Registration

Registration for the Annual State Congress and AGM 2023 is now open. The deadline to register is Monday 9 October 2023.

There are three types of registration this year:

  1. In-Person attendance – Sub-Branch or District Council delegate and alternate delegate in-person attendance
  2. Virtual (online) attendance – Sub-Branch or District Council delegate and alternate delegate virtual (online) attendance
  3. Proxy nomination –  Nominate a proxy to vote on your behalf

Note: the delegate and alternate delegate must attend together i.e. both in person or both virtually.

All email correspondence relating to Congress and the AGM will be sent to the official RSL NSW sub-Branch email address.

Accessing the Registration Forms:

All Honorary Secretaries are required to complete an online registration form for their Delegate and Alternate Delegates. Use the following links to access the forms. (Please note: the registration form is applicable to both in-person and virtual attendance options.)

If the Delegate and/or Alternate Delegate registers to attend virtually, instructions on how to participate will be sent to the personal email address of the registered Delegate or Alternate Delegate.

Proxy Voting

Sub-Branch Delegates unable to attend Congress and the AGM, either in person or virtually (online), have the option to appoint the Chair, a Director of the RSL NSW Board, or their sub-Branch District Council Delegate as a proxy cast vote on their behalf, in accordance with clause 15.52 and Appendix C of the RSL NSW Constitution. Find out more information on how you nominate a proxy by clicking on this link and the proxy form is available here.

Observers

There are restricted numbers for observers to attend in person which are dependent on the number of delegates and alternates delegates that register. Observers will be confirmed as attending on a first come first to register basis, by a team member from ANZAC House. Please complete the expressions of interest form online here.

Any observer must be a member, this can be a service member, affiliate member or auxiliary member.

The expression of interest form is for in person attendance only. All members will be emailed a link to watch the livestream as an observer (no registration necessary).

RSL NSW sub-Branch of the Year Award

The inaugural ‘RSL NSW sub-Branch of the Year Award’ is the recognition of the extraordinary volunteerism across the League as many sub-Branches strive to support veterans and veteran families and work extraordinarily hard to manage the administration of the sub-Branch as more and more obligations are having to be met to meet contemporary regulatory standards, governance, and administrative requirements.

To be eligible for this award to be presented at Congress, please respond to a set of selection criteria questions in the sub-Branch registration form.

Social and Sport & Recreation Program Activities

All Delegates and Alternate Delegates are invited to join their fellow members from across the State on Monday afternoon for lawn bowls, trivia, or billiards/pool (non-competitive) and camaraderie at Bar Beach Bowling Club. This Sport and Recreation activity will take place from 5pm, a shuttle bus and refreshments will be provided. More information about this activity can be found here.
